Terms of Service
Last updated: 2 November 2026
These terms govern the corporate travel management services that Trip Time provides to companies (each a "Client") through its website and client portal. By opening a client account or submitting a travel request, the Client accepts these terms. A signed service agreement with the Client takes precedence where it differs.
1. The service
Trip Time arranges business travel for the Client's employees and guests: flights, hotels and related services. We receive requests through the portal, source options from airlines, hotels and travel suppliers, send quotes, and issue tickets and vouchers once a quote is approved.
Trip Time acts as an intermediary between the Client and the supplier. Carriage and accommodation are provided by the airline or hotel under its own conditions, which apply to each booking.
2. Accounts and users
The Client appoints one or more company administrators who invite users, set roles and, where enabled, approval rules and travel policy.
The Client is responsible for every request, approval and quote acceptance made from its users' accounts, and must remove access for users who leave the company. Sign-in codes are personal and must not be shared.
3. Requests, quotes and issuance
A request is not a booking. Prices and availability in a quote are confirmed only when the ticket or voucher is issued; suppliers may change fares or withdraw availability before then, in which case we will send an updated quote.
Each quote states its validity. Accepting a quote authorises Trip Time to issue the booking and to invoice the Client for it.
The Client must make sure traveller names match passports or national IDs exactly, and that travellers hold valid travel documents, visas and any health requirements for their trip. Costs caused by incorrect traveller details are charged to the Client.
4. Changes and cancellations
Changes and cancellations after issuance follow the supplier's fare rules and hotel policy. Supplier penalties and any fare difference, plus Trip Time's service fee where one applies, are charged to the Client.
Refunds are passed to the Client after the supplier refunds Trip Time, normally as a credit note against the original invoice. Non-refundable fares and rates are not refunded.
5. Invoicing and payment
Trip Time invoices each issued booking and sends a monthly statement. Invoices are due within the payment terms agreed with the Client. Prices are in Saudi riyals and VAT is charged where it applies.
Trip Time may set a credit limit for the Client. Requests that would exceed the limit, or that are made while invoices are overdue, may be held until payment is received.
6. Liability
Trip Time is not liable for delays, cancellations, overbooking, schedule changes, or the quality of services delivered by airlines, hotels or other suppliers, nor for loss caused by events beyond its reasonable control. We will help the Client pursue claims against the supplier.
To the extent the law allows, Trip Time's liability for any booking is limited to the service fee charged for that booking.
7. Personal data
We process travellers' personal data to fulfil bookings, as described in our Privacy Policy. The Client confirms it is entitled to share its employees' and guests' data with Trip Time for this purpose.
8. Suspension and termination
Either party may close the client account with written notice. Trip Time may suspend access for non-payment or misuse. Bookings already issued and amounts already invoiced remain payable.
9. Governing law
These terms are governed by the laws of the Kingdom of Saudi Arabia. Disputes that cannot be settled amicably fall under the jurisdiction of the competent courts in the Kingdom.
10. Changes to these terms
We may update these terms. The date at the top shows the latest version; material changes will be notified to company administrators before they take effect. Questions: info@triptimett.com.
